Project Coordinator / Design Assistant

We're looking for a part-time Project Coordinator/Design Assistant who will provide both administrative and creative support critical to ensure efficient project operations under the direction of the company’s CEO.

The ideal candidate will be responsible for a variety of essential support functions, including but not limited to scheduling, planning, and setting up meetings; carefully tracking project information; monitoring tasks are completed during client installations; and ensuring clients receive exceptional customer service.

The position is demanding and the Project Coordinator/Design Assistant must be able to work with multiple projects and aggressive deadlines, with frequent interruptions. A high level of independence, judgment, organizational skills, and teamwork is required.

RESPONSIBILITIES:

  • Assist the agency’s CEO on projects in various stages of development
  • Support CEO with administrative aspects of projects including taking meeting notes; scheduling meetings; and tracking action items
  • Request information and quotes from vendors, including creating work orders, maintaining status reports, and following up on orders
  • Provide assistance in the creation of preliminary plans and design concepts
  • Project errands such as picking up orders; picking up and returning samples
  • Assist with preparing client presentations and image sheets
  • Source and research products, finishes/materials, etc.
  • Assist in supporting and executing the setup and teardown of projects, as needed
  • Contribute to the overall success of projects by performing other duties and responsibilities as assigned

QUALIFICATIONS:

  • Bachelors degree required
  • Minimum two years of general office or administrative experience
  • Ability to prioritize and complete a high volume of tasks by deadline
  • Ability to anticipate needs and problem solve
  • Excellent organizational skills
  • Ability to work independently and as part of a team while being collaborative in resolving problems
  • Excellent communication skills, both written and verbal
  • Excellent customer service skills provided through electronic communication and telephone
  • Ability to use tact and diplomacy to maintain effective working relationships
  • Ability to maintain strict confidentiality
  • Familiarity in Outlook, Word, Excel, and PowerPoint
  • Experience with Adobe Creative Suite including Photoshop, Illustrator, or AutoCad a plus
  • Experience in furniture, design, retail and/or service oriented field a bonus.
  • Flexibility to work long hours and occasional weekends, as needed
  • Solid attendance record and punctuality is required
  • Demonstrates dependability, productivity, and quality at or above standards
  • Ability to learn quickly and thrive in a high-pressure and fast-paced environment

COMPENSATION: $15-20/hour depending on experience

P.I.T. CREW ASSISTANT
 

We're looking for a part-time / on-call P.I.T. Crew Assistant who will be an essential part of our "Production + Installation + Teardown Crew" (P.I.T. Crew). S/he will be responsible for assisting with tasks involved in producing custom décor elements, supporting the execution of a variety of installations or events, as well as tearing down all decor elements after the project or event is completed.

The ideal individual is comfortable working “back-of-house” with multiple projects and aggressive deadlines, has strong organizational skills, is a team-player, and has a pride of ownership in every task they take on. 

RESPONSIBILITIES:

  • Assist with the creation and production of event décor elements, including building, painting, and assembling items
  • Assist with preparing, packing, and loading/unloading equipment from warehouse to event site
  • Assist in supporting and executing the setup and teardown of event décor elements
  • Responsible for assembling and detailing décor elements
  • Contribute to the overall success of events by performing other duties and responsibilities as assigned
  • Work productively in a team-oriented environment, but also be able to work independently when assigned specific tasks

QUALIFICATIONS:

  • High school diploma or equivalent
  • Carpentry or basic shop skills a plus
  • Possesses the ability to operate basic hand tools (i.e., hammer, screwdriver, drill, etc.)
  • Flexibility to work long hours, nights, weekends, and occasional overnighters as needed
  • Solid attendance record and punctuality is required
  • Demonstrates dependability, safety consciousness, productivity, and quality at or above standards
  • Ability to learn quickly and thrive in a high-pressure and fast-paced environment
  • Self-starter and the ability to work with a high degree of accuracy and attention to detail on highly repetitive and meticulous projects
  • Practices good housekeeping and keeps work area neat, clean, and orderly
  • Ability to lift, carry, pull and/or push up to 40 - 70 pounds frequently with or without accommodation
  • Must be able to climb and balance on step ladders
  • Must be able to load, operate and move hand carts, and various other material handling aids
  • Must have reliable form of transportation to report to the various job sites
